Planning a Destination Wedding in Mexico: Everything You Need to ASK THE VENUE Before You Book PART I
Choosing your wedding venue is one of the most exciting parts of planning a destination wedding … and one of the easiest places to get swept up in the pretty.
The setting is gorgeous. The rooms are beautiful. You can already picture the tables, the flowers, the dress, and that beautiful Mexico sunset.
But before you fall completely in love, there’s another side of the venue you need to understand: how the wedding actually works there.
Especially when you're planning a destination wedding in Mexico, the venue isn't simply where you’ll exchange vows. It becomes the framework for the entire celebration … from guest accommodations and transportation to catering, production, music, weather plans and everything in between.
The right questions early on can save you from some very expensive surprises later.
We have compiled 15 questions we recommend asking before you sign on the dotted line … this is part I.
01. WHAT EXACTLY IS INCLUDED IN THE VENUE RENTAL?
Never assume that the beautiful space you toured or saw online comes exactly as pictured.
Ask what your venue rental actually includes.
Does it include tables and chairs? Getting-ready spaces? Existing furniture? Lighting? Setup and breakdown? Staff? Security? Restrooms? A ceremony location?
And just as importantly, ask what isn't included.
A venue that initially looks like a great value can feel very different once you begin adding rentals, staffing, production and other required fees.
Our advice: Ask for a detailed list of inclusions and exclusions before comparing one venue to another.
02. ARE WE REQUIRED OT USE YOUR PREFERRED VENDORS?
Some venues allow you to bring in any vendor you choose. Others have preferred vendor lists, and some require you to work exclusively with their in-house or approved teams.
This can have a major impact on both your budget and your creative vision.
Ask:
Can we hire our own caterer?
Can we bring in our own florist?
Can we choose our photographer and entertainment?
Are there additional fees for using outside vendors?
Are there any vendors we are required to use?
If you already have a creative team in mind, find this out before booking the venue … not after. One of the bonuses of working with an experienced destination wedding planner like us is that if the venue trusts your planner, there might be workarounds ;)
03. WHAT ARE THE FOOD AND BEVERAGE REQUIREMENTS?
Food and beverage can be one of the largest components of a wedding budget, so this is an important conversation to have early.
Find out whether the venue has:
In-house catering
A required caterer
A preferred catering list
A food and beverage minimum
Bar packages
Corkage fees
Cake-cutting fees
Service charges
Minimum staffing requirements
And don't be afraid to ask for sample menus and pricing.
For a destination wedding, food can also be an opportunity to make the experience feel connected to the place you're celebrating. Ask what flexibility you have to customize the menu and incorporate local ingredients or regional specialties.
04. WHAT ARE THE RULES AROUND MUSIC AND ENTERTAINMENT?
You may be dreaming about a late-night dance floor under the stars, but your venue may have a very different idea of when the evening ends.
Ask about:
Music curfews
Amplified sound restrictions
Outdoor vs. indoor music
Noise limitations
Live bands vs. DJs
After-parties
Entertainment setup and breakdown
Any required security
If dancing is a major part of your wedding, this should be a non-negotiable conversation before booking.
05. WHAT HAPPENS IF IT RAINS OR THE WEATHER DOESN’T COOPERATE?
If you're planning an outdoor wedding, don't simply ask whether the venue has a rain plan.
Ask what the rain plan actually is.
Where would the ceremony move? Where would cocktail hour happen? Can the reception still look and feel the way you envisioned it? How quickly can the space be transformed?
And what happens with extreme heat, wind or other weather concerns?
A backup plan shouldn't feel like a backup. Ideally, your Plan B should be a beautiful option in its own right.
06. HOW DOES THE VENUE HANDLE VENDOR LOAD-IN AND SET-UP?
This is one of those behind-the-scenes questions that may not feel important when you're touring a venue—but it can become very important on wedding day.
Ask:
Where do vendors unload?
How close can trucks get to the event space?
Are there stairs, elevators or long distances involved?
What are the load-in and load-out windows?
Can vendors access the property the day before?
Are there restrictions on setup or breakdown times?
That beautiful ceremony installation or elaborate reception design has to physically get there somehow.
The logistics matter.
07. WHAT ARE THE GUEST ACCOMMODATION OPTIONS?
For a destination wedding, your venue and your hotel strategy are closely connected.
If the venue has accommodations, ask about:
Number of rooms
Room categories
Room rates
Room blocks
Minimum stay requirements
Booking deadlines
Cancellation policies
Options for guests with different budgets
If the venue does not have accommodations, look at the surrounding hotels and think about transportation between them.
Your guests are part of the wedding experience, too. Their stay should feel considered … not like an afterthought.
