The setting is gorgeous. The rooms are beautiful. You can already picture the tables, the flowers, the dress, and that beautiful Mexico sunset.
But before you fall completely in love, there’s another side of the venue you need to understand: how the wedding actually works there.
Especially when you're planning a destination wedding in Mexico, the venue isn't simply where you’ll exchange vows. It becomes the framework for the entire celebration … from guest accommodations and transportation to catering, production, music, weather plans and everything in between.
The right questions early on can save you from some very expensive surprises later.

08. HOW ACCESSIBLE IS THE VENUE FOR OUR GUESTS?
A destination wedding can be an incredible experience, but it's important to consider how easy it is for everyone to get there.
Think beyond the final drive to the venue.
How far is the nearest airport? Are direct flights readily available? How long is the transfer? Is transportation easy to arrange?
And once guests arrive, how easy is it to get around?
These details can make a surprisingly big difference in the overall guest experience.
09. WHAT ARE THE VENUE’S REQUIREMENTS FOR TRANSPORTATION?
If guests are staying at multiple hotels … or the venue is located outside a central area … you'll want to understand transportation logistics early.
Ask:
Does the venue provide transportation?
Are there designated drop-off areas?
Can buses or vans access the property?
How late can transportation operate?
Are there restrictions on vehicle size?
Where do guests wait for transportation at the end of the night?
Transportation is one of those things that seems simple until you're moving 100+ people at once.
10. WHAT ARE THE POWER AND PRODUCTION CAPABILITIES?
If you're planning anything beyond a simple dinner, ask about power.
Your DJ, band, lighting, catering team, specialty entertainment and production elements may all require electricity … and not every venue is equipped for the same level of production.
Ask whether you will need:
Additional generators
Specialized power
Lighting
Sound equipment
Production support
Your planner and production team can help determine what you need, but it's important to know the venue's capabilities before you begin designing an event around them.
11. HOW MUCH TIME WILL WE ACTUALLY HAVE AT THE VENUE?
Your venue access time can have a huge impact on your wedding-day timeline.
Ask:
When can vendors arrive?
When can setup begin?
When can the wedding party arrive?
When does the event have to end?
How long do we have for breakdown?
A gorgeous venue with a very tight setup window may require a completely different production strategy than a venue that gives your team access all day.
12. ARE THERE ADDITIONAL FEES WE SHOULD KNOW ABOUT?
This is one of the most important questions you can ask.
Request a complete breakdown of potential additional costs, including:
Service charges
Taxes
Staffing
Security
Overtime
Rentals
Corkage
Cake cutting
Outside vendor fees
Power or generator fees
Cleaning
Setup and breakdown
Transportation
Permit fees
The goal isn't to find a venue with the fewest fees. It's to understand the true cost of hosting your wedding there.
13. WHAT HAPPENS IF OUR GUEST COUNT CHANGES?
Your guest list may look very different 12 months from now than it does today.
Ask how the venue handles changes to your guest count and whether there are minimums or maximums.
You'll also want to understand how a change in guest count affects catering, rentals, room blocks, seating and the overall layout.
14. WHAT ARE THE RULES AROUND DECOR AND INSTALLATIONS?
This is especially important if you're envisioning a highly designed wedding.
Ask about:
Candles
Hanging installations
Floral structures
Draping
Furniture
Specialty rentals
Dance floors
Tents
Confetti or petals
Open flame
Anchoring décor
Attaching anything to existing structures
Some venues have architectural or environmental restrictions that can affect your design.
It's much better to know about those limitations while you're still choosing the venue than after you've already designed your dream reception.
15. CAN WE REVIEW THE CONTRACT BEFORE WE MAKE A DECISION?
Finally: don't rush the contract.
Ask to see the full agreement and take the time to understand what you're actually signing.
Pay particular attention to:
Payment schedule
Deposit requirements
Cancellation terms
Rescheduling policies
Force majeure clauses
Overtime
Guest count requirements
Vendor requirements
Insurance requirements
Damage policies
What happens if the venue changes ownership or operations
If something isn't clear, ask.
A venue contract isn't the most glamorous part of wedding planning—but understanding it before you book can save you a lot of stress later.
